Privacy Policy Videotech for Photo On Demand.
Videotech Sverige AB ("Supplier") takes your privacy very seriously and strives to process your data with the highest level of security and confidentiality. In addition to the Policy available at videotech.se ("Privacy Policy"), this privacy notice describes how the Provider interacts with your personal data, what data it will process and which third parties may have access to your data when you use a feature of the Provider's application called Photo on Demand ("PhoD") ("PhotoOnDemand").
This Notice forms an integral part of the Privacy Policy and Terms of Use available at videotech.se ("Agreement"), and the Notice is hereby incorporated by reference. As this Notice supplements the Privacy Policy with respect to PhoD functionality, we kindly ask you to read the Privacy Policy to find general information about where data is stored and how long the Provider retains it, what technical measures the Provider uses to protect your personal data, what data protection rights you have as a data subject, and other information required by applicable data protection laws.
Your data protection officer is the Provider. You can contact that controller using the contacts described in section 3.1 below. We may also use certain data protection assistants to deliver technical solutions and our services to you.
The Provider may, from time to time and as a result of any changes in PhoD functionality, supplement, amend or replace this Notice. All changes, including how they are to be made, are subject to rules, as set out in the Privacy Policy.
Sections 2.3 to 2.5 of this document contain important information about cases where your personal data may be transferred to third parties and the potential consequences of such transfer. PLEASE READ THEM FIRST AND DO NOT USE PHOD OR ANY OF ITS MECHANISMS UNLESS YOU AGREE TO THESE TERMS. IF YOU ACTIVATE THE PHOD SERVICE, YOU AGREE TO BE BOUND BY THE TERMS HEREIN.
1. Photo on Request Function; Permissions
1.1 The PhoD function appears in the Supplier's system with the relevant update of the Supplier's application. The feature allows users to take pictures with detectors that support photo verification at any time when devices are activated or not. The PhoD function provides the possibility to find out the situation at the facility, check the cause of the alarm or ensure the security of your area or premises.
1.2 PhoD is disabled by default. To enable this feature, an administrator or an authorized user can only select the relevant feature in the Supplier's application settings field.
1.3 There are a few categories of hub users that can interact with PhoD:
a) Administrator. It can manage privacy settings, enable and disable PhoD at any time, assign or revoke the right to use PhoD and access the images to other users, allow a third party to access PhoD:s data and request to take images, take images at any time (when a hub is activated or not), view images taken by other users, view Users and their privacy permissions, determine which users can take and view images on demand, which system detectors can be used to take images on demand, when a user can take images on demand: at any time or when a device is activated, and deactivate any user's assignment or account;
b) User. By default, it has no access to either the use of PhoD and captured images or the settings of PhoD. A user can never activate or deactivate the PhoD feature other than with permission granted by an administrator. If an administrator grants a user the relevant authorization, a user can:
1. Manage Privacy Permissions. If an administrator chooses, they can allow (or forbid) other users to activate and deactivate PhoD at any time. An administrator can also cancel this right at any time;
2.Assign/Add New Users. If an administrator chooses, it can allow (or prohibit) other users to add or remove new users and assign a certain scope of rights to them. An administrator can cancel or change any of these rights at any time;
3.Take Pictures on Request. If an administrator chooses, it can allow (or prohibit) other users to request from the Provider's application to take pictures of premises. An administrator can limit this right by time (allowing to take images only when a device is activated), by area (allowing access to selected detectors (cameras) only), by action (allowing to request an image without the right to access such image). An administrator can cancel or modify any of these rights at any time;
4. access to images. If an administrator chooses, it can allow (or prohibit) a user to view images taken by such user or by other users. There are some additional facts: (1) photos taken on demand are only available to users who have the right to take photos on demand at the time of the shooting; (2) if they obtain the right to take photos on demand, users cannot see the photos taken before this right was obtained; (3) users who have lost the right to take photos on demand can see the photos taken by them when they had such a right. An administrator can cancel or change this right at any time. When a user (including an administrator) requests to take an image, all users receive a notification that someone has taken an image of premises; however, other users cannot access such an image until they have the relevant authorization.
1.4 The Administrator is required to obtain the explicit consent of all users, including other administrators, before (a) activating the PhoD feature and (b) granting any permissions to anyone. The Administrator may not allow or request the Provider to provide such access to or transfer to any device the personal data of any user of a device before such user has given his or her unambiguous consent to the Administrator.
2. Personal Data and Third Party Access
2.1 Due to the nature of PhoD and in accordance with users' actions, the Provider may process the following personal data of users in the context of performing the PhoD function: (a) names and IDs of users of a device where PhoD is enabled; (b) authorizations granted to such users and their roles (Administrator or User); (c) images taken by users; (d) logs of PhoD: who took an image, when an image was taken, which detectors (cameras) were used to take an image; (e) metadata of images: detector (camera) ID, name, size, date and format of an image, number of images, etc.
2.2 By enabling the PhoD option in the Supplier's application, an administrator authorizes and directs the Supplier to process personal data listed in section 2.1(a)-(b) herein to provide the Supplier's services under the Agreement. By taking a picture or authorizing a user to take pictures, an administrator authorizes and directs the Provider to process personal data listed in Section 2.1(a)-(e) herein. By enabling the PhoD option in the Provider's application or adding new users, an administrator authorizes and directs the Provider to deliver event notifications to all users when an image is taken by any user. By giving a user access to captured images, an administrator authorizes and controls the Provider to deliver such images to users with relevant access privileges.
2.3 If you use third-party security, monitoring, installation or similar services, you may allow them to use your PhoD features. If you give them such permission (or request it from the Provider), the company/companies will have full access to your data as set out in section 2.1 below, and they will be able to take photos at any time and for purposes that may be different from their performance of services to you. Although you will be notified each time the company/companies take a photo and you can restrict access to the PhoD features at any time, you should be aware that you cannot undo access to your data that has already taken place. By adding a third party (either yourself or with the help of the Provider) as an entity authorized to use your PhoD features, you acknowledge, consent, confirm and represent that: (a) you are ordering the Provider to allow such third party to access your PhoD features, literally take photos and monitor activity at your location; (b) you are ordering the Provider to transfer your personal data as described in the Privacy Policy and Section 2.1 below to such third party; (c) you have assessed and agree to all associated risks; (d) such third party is a controller (with respect to the services it provides to you) of the personal data (i) received from Provider and (ii) received in connection with the use of PhoD by that third party, and it is not a data processor engaged by Provider. This also means that the Provider cannot request (due to lack of authority) that such entity delete your data or stop processing your data; (e) the Provider never accesses your data or transfers it to third parties without your knowledge; (f) no third parties have access to your data or can handle any of the equipment or its parts by default without your authorization; (g) the Provider does not select recipients of personal data, so it cannot (and does not) guarantee the security of data when it is transferred to such third parties; (h) the Provider is not associated with such third parties and has no influence on them; (j) you bear all risks associated with the data transfer and waive all possible claims, compensations, etc., related to such transfer.
2.4 Please note that if (a) you grant users permission to take photos or the right to access photos or (b) direct the Provider to provide access to any of the PhoD functionality to third parties (security, surveillance or installation companies, etc.), this may be associated with certain privacy risks for you and other persons. The provider does not recommend giving access to any of the PhoD functionality to any person without a reasonable need or a need that cannot be met otherwise. If you still want to allow other people to use your PhoD functionality and access photos, the Provider strongly recommends that you first assess all risks.
2.5 If you want to restrict other users' or third parties' access to your PhoD functionality, you can do so via the settings field in the Provider's application or with the help of the Provider's support team at support@videotech.se. Please note that the Provider has no authority to make either other users or any third parties who have already accessed your data delete such data. If you wish to limit the processing of your data by such persons or have them delete your data, please contact them directly.

Please refer to the applicable technical documentation for information on the operation of the PhoD or the products.
